Making a flyer takes two days.  Outreach to media takes five days. Thus, allow one week for publicity.  Start publicity three weeks in advance of event to get it done two weeks in advance of event.

Send annoucements by email: send announcement to mark calendars two weeks in advance, followed by reminder 1-2 days in advance.
